How we use your information

When customers come to us with an enquiry or issue we often have to collect information about them. All information you give us will be used to process and resolve your enquiry. We may have to share your information with other teams in Aberdeen City Council relevant to your enquiry in order to process it satisfactorily. This could include sharing with the Roadworks Co-ordination team or the Traffic Management team.

If you have provided us with contact details and indicated you would like to be updated with our response to your enquiry, we will use your contact details for this purpose only. If you do not wish to be contacted by us or another team regarding your enquiry you do not have to give us your contact details.

How long we keep your information for

Once we have closed your enquiry, we will destroy the information you gave us. If the result of your enquiry was a job being undertaken by our roads teams, we will retain the information about that job, following existing retention periods, but will remove your personal information such as your name or address from our records.

If your enquiry is relating to an insurance claim, it will be retained by our Insurance team for seven years.

Your rights

You’ve got legal rights about the way the Council handles and uses your data, which include the right to ask for a copy of it, and to ask us to stop doing something with your data. Please email the Council’s Data Protection Officer on or write to:

You also have the right to make a complaint to the Information Commissioner’s Office. They are the body responsible for making sure organisations like the Council handle your data lawfully.

Our legal basis

Aberdeen City Council is the Data Controller for the information you provide. Wherever we process personal information we have to make sure we have a basis for doing so in Data Protection Law. We understand our basis for responding to and acting on your enquiries as 6(1)(c) and 6(1)(e) of the General Data Protection Regulation. This is because this activity is part of our public task under the Road Traffic Regulation Act 1984.
